Approval of minutes

The minutes from the meeting of 29 June 2011 were approved.

Actions from previous meetings

Memorial Garden collection box liability waiver

CS is still awaiting information about a waiver but due to various legal technicalities, thinks it may be too complicated to implement.

Action: Deferred to September.

New patient brochure

THP reported that the new patient brochure is nearly complete.

Action: Deferred to September.

Health Awareness Evening

CS has investigated the church hall schedule and has booked it for 21 September, 7:00-9:00 p.m. THP said that Dr Stanton suggested contacting the Metabolic Unit at Addenbrooke's Hospital for a possible speaker or posters/leaflets/etc.

Action: CS will contact Diabetes UK. THP will contact Addenbrooke's Hospital.

CS said that members need to be at the church at least 45 minutes ahead of time to set up chairs and prepare the church hall.

Advertisements such as posters, leaflets, press releases, etc., are necessary. These may be distributed at the surgery, Tesco pharmacy, library and parish council notice board.

Action: THP will send an article for the Bar Hill News about the lecture.

Because this is the first of a series of Health Awareness Evenings, it is unknown how many people are likely to turn up. Therefore, the group will not offer refreshments afterwards this time.

Surgery news

The surgery plans to appoint two more GPs. There is an advertisement in the British Medical Journal with a closing date at the end of July. Unfortunately, at this time there are quite a few openings for GPs and thus, a lot of competition for good applicants. As a contingency plan, Dr Anthony Ng will be working part-time until the end of the year. It may not be possible to have full-time GPs but the surgery is striving for continuity and consistency; that is, the same doctors holding clinics on the same days every week.

The early opening has been well-received by patients. Although it started as an early opening on Friday, the early clinics have been moved to Tuesdays for the foreseeable future. There is a poster in the surgery advertising the early opening and the new hours are also in the Bar Hill News.

In other recruitment news, there has been a good response for the part-time reception position. The surgery is also appointing an 'apprentice' receptionist/administrator who will be trained and supported by the staff.

Dr Brendan Boyle will be working half-time from October. However, a new partner, Dr Gysbert Fourie, is working at the surgery three days a week.

Patient questionnaires

The in-house questionnaire has been completed and the results are being analysed.

Action: Deferred to September or later.

Volunteer drivers and the Community Car Scheme

DH passed around information about the Community Car Scheme. It was suggested that a representative from the Care Network be invited to a future meeting to discuss CCS and how to set one up in Bar Hill.

Action: DH will contact the Care Network.

Organisation of the PPG

It was generally agreed that some kind of formal structure for the group was needed but that it should not be overly long or complicated. There was considerable discussion about the degree of formality required, the size of the group, voting rights and how to handle disruptions from members or guests at meetings.

Action: LMS will flesh out the outline that was distributed at the meeting for further discussion in the coming months.

THP brought up the idea of the patient reference group which is new to the local primary care trust. It seems to have a more formal structure than a patient participation group (PPG). THP emphasised that it was important not to make a group constitution too restrictive.

MM pointed out that the group is not representative of other patients. THP suggested that it might be a good idea for the group to conduct their own survey to see what patients want or need from their surgery.

Action: Deferred to August.

PD worried about those patients who are only occasional users of the surgery and those patients who live outside Bar Hill. THP said it should be possible to post questionnaires to those few patients.

The meeting adjourned at 8:00 p.m.

The next meeting of the PPG will take place at 6:30 p.m. on Wednesday, 31 August 2011, in the Octagon. Tea and coffee will be served before the meeting, from 6:00 p.m.
